Schedule: 34 hrs/week | Mon.–Thurs., 8 a.m. – 4 p.m., Fri. 8 a.m. – 12 p.m.

The town of Swampscott seeks a skilled Administrative Assistant to support both the Police and Fire departments. This highly confidential role provides direct support to the Chiefs and staff, managing office operations, payroll, personnel records, accounts payable/receivable, scheduling, and public inquiries.
Key Duties:

Oversee daily office operations and serve as main point of contact for staff, agencies, and the public

Prepare reports, manage calendars, and coordinate meetings

Process payroll, benefits, and confidential personnel files

Handle accounts payable/receivable, purchase orders, and vendor relations (MUNIS, DTS, QED)

Support emergency response communications and maintain departmental databases
Qualifications:

Associate degree (bachelor’s preferred)

Three to five years’ administrative experience (municipal/public safety preferred)

Strong communication, organizational, and multitasking skills

Proficiency in Microsoft Office and municipal systems (MUNIS, DTS, QED, etc.)
