ABOUT THE JOB: Responsible for providing general administrative and executive support to the General Counsel (and other attorneys as directed). The Assistant to the General Counsel will be responsible for complex and confidential administrative support functions so as to relieve the General Counsel of day-to-day administrative duties. He/she will work independently and handle a wide range of administrative tasks with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serves as gatekeeper for the General Counsel’s priorities, time, and resources. Notifies General Counsel of important or urgent matters and works with other staff to ensure timely follow-up. Prepares and sends correspondence on behalf of the General Counsel, including memoranda, reports, emails, and other documents.
  • Assists in tracking, processing, and responding to records and document requests from the general public, residents, attorneys, and others.
  • Reviews, reconciles, and submits invoices for payment and monitors contract payments made to outside firms and supply and service orders; oversees and processes incoming and outgoing bill payments for legal notices, constable services, and legal contracts.
  • Maintains office supplies and services for office equipment. Performs general receptionist duties as needed.
  • Maintains the Legal Department library, including bill processing and filing revisions to legal books.
  • Tracks and processes all staff vacancies, postings and hiring packets for the agency’s legal staff.
  • Receives and responds to telephone calls on behalf of the General Counsel. Makes travel arrangements, maintains calendar, and schedules meetings.
  • Writes concisely and effectively, able to express thoughts clearly and develop ideas in logical sequence.
  • Is well organized; compiles, organizes and maintains confidential physical and electronic documentation for case files, meetings, projects, reports and archives.
  • Supervises other Legal Department administrative and support staff and trains new employees.
  • Performs other related duties and special projects as assigned.
  • MINIMUM QUALIFICATIONS:

The successful candidate will possess and, upon request, document the following minimum requirements and attributes: bachelor’s degree in business administration or a related field; a minimum of two years of experience providing high-level administrative support in a fast-paced, professional or legal environment; exceptional written and oral communication skills; advanced computer skills including work experience with Word, Excel, and Power Point; the ability to simultaneously manage a large number of projects and tasks and adapt well to changing priorities; a meticulous attention to detail and ability to be well organized; proactively and creatively solves problems and consistently meets deadlines; ability to work independently and as part of a team; and strong interpersonal skills and ability to establish effective working relationships with others.
