Job Description
The Town of Manchester-by-the-Sea is seeking a dependable, detail-oriented individual to join our Finance Department as an Administrative Assistant. This is a great opportunity for someone who is organized, enjoys working with numbers and people, and wants to learn more about municipal finance.
The Administrative Assistant provides clerical and administrative support to the town’s Finance Department, including the offices of the Treasurer/Collector and Town Accountant and, as needed, the Assessor. The position assists with payroll, accounts payable, departmental turnovers, financial record keeping, and day-to-day office operations.
Key Responsibilities
- Provide general administrative and clerical support, including filing, scanning, correspondence, and data entry.
- Assist with processing payroll, accounts payable, payments, deposits, and departmental turnovers.
- Prepare and maintain forms, spreadsheets, financial records, and routine correspondence.
- Assist with the preparation and mailing of tax bills, vendor checks, and other Town documents.
- Maintain organized electronic and paper filing systems.
- Respond to questions from residents, vendors, employees, and other Town departments in a professional and courteous manner.
- Enter and verify information in accounting and payroll systems.
- Assist with monthly, quarterly, and annual reports.
- Provide general support to the Finance Department as needed.
Qualifications
- High school diploma or equivalent required; Associate’s degree in business, accounting, or a related field preferred.
- One to three years of clerical, administrative, or bookkeeping experience, preferably in a municipal or office setting.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality when working with financial and personnel information.
- Strong communication and customer service skills.
- Working knowledge of Microsoft Office, including Word and Excel.
- Ability to manage multiple priorities and meet deadlines.
- Familiarity with bookkeeping or financial recordkeeping.
- Ability to work cooperatively as part of a team.
An equivalent combination of education and experience will be considered. The successful candidate must be bondable.
